Employee Security (For Owners)

As a business owner, setting up employee security can be a daunting task with so many options available. This document is intended to define each of the available security options so that you will know you’re assigning appropriate permissions to each of your team members. 

It is not recommended you share the OWNER login information with any team member. Each team member should have his/her own STX login credentials.

STX Software cannot make recommendations on which security options should be assigned to a team member. It is your responsibility as an owner to make sure your team members have the appropriate permissions so that your STX data is protected.
  1. To get started, go to Setup: Employees, highlight the employee for whom you wish to set the security, and click the Security tab. 
  2. There are many main topics, categories, and subcategories within each topic for security.
  3. Expand main topics, categories and subcategories by clicking the triangles to point downward.
  4. Checking a main topic checkbox will enable each item within the topic, including categories  and subcategories. 
  5. Checking a category checkbox will enable each item within the category, including subcategories.
  6. Checking a subcategory checkbox will enable each item within the subcategory.
  7. Checked items indicate the user will have access to the item. 
  8. It is recommended you only check the items that are necessary for the employee to perform his/her duties. 


STX Menu

  1. Can Access Preferences - Allows user to access Preferences in the STX drop-down menu and make changes to the preference settings in STX. 
  2. Can Access Registration - Allows user to access Registration in the STX drop-down menu and  to either put in an STX license or renew the license online when it’s about to expire. Also allows user to purchase additional seats and employee level upgrades to be added to the license.

STX Menu > Backups

  1. Can Access Window - Allows user to access Backups in the STX drop-down menu and access the backups window. 
  2. Can Perform Backup - Allows user to manually take an STX backup of your STX Software Database.
  3. Can Save Copy - Allows user to save any backup taken to the desktop, USB Thumb Drive, external hard drive or other external devices.


Setup

Setup > General

  1. Can Access Window - Allows user to access the items in General setup. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes made in General setup.
  3. Can Access Company Info - Allows user to access Company information tab and make changes to company information such as tax rates, overtime start, company address, and phone numbers.
  4. Can Access Departments - Allows user to access the Departments tab to add, change or delete departments.
  5. Can Access Gift Templates - Allows user to access the Gift Templates tab to add new templates, make templates inactive, or change fields on templates. Also allows user to select which templates show up online if business is selling gift certificates through the STX Online Booking.
  6. Can Access Postal Codes - Allows user access to the Postal Codes tab to edit, add, or delete postal codes and cities.
  7. Can Access Company Hours - Allows user access to the Company Hours tab to edit, add, or remove opening and start times for Company Hours.
  8. Can Access Cash Drawers - Allows user access to the Cash Drawer tab to add, rename, configure, or detach cash drawers.
  9. Can Access Merchant Info - Allows user access to the Merchant tab to delete, add, or edit Credit Card Processing Merchant account information for both In-Store and Online Merchants. Allows user to set preferences for adding a tip line for electronic payment receipts.
  10. Can Access Online Settings - Allows user access to the Online tab to set the preferences for Online Services to include reminder emails, SMS reminders, purchase of SMS credits, the sale of gifts online, and booking parameters.


Setup > Finance

  1. Can Access Window - Allows user to access the items in the Finance setup. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes made in Finance setup.
  3. Can Access Accounts - Allows user access to the Accounts tab to edit, make inactive, delete, or add accounts for bookkeeping purposes. 
  4. Can Access Calculations - Allows user access to the Calculations tab to edit, make inactive, delete, or add calculations used in Goal Setting for Monthly Employee Goals
  5. Can Access Payment Types - Allows user access to the Payment Types tab to edit, make inactive, delete, or create new payment types for transactions.
  6. Can Access Payroll Methods - Allows user access to the Payroll Methods tab to create new methods and scales, edit methods and scales, make methods and scales inactive, or delete methods and scales.

Setup > Marketing

  1. Can Access Window - Allows user to access the items in the Marketing setup. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes made in Marketing setup.
  3. Can Access Client Flags - Allows user access to the Client Flags tab to create, edit, delete, or make inactive Client Flags for Marketing purposes.
  4. Can Access Visit Types - Allows user access to the Visit Types tab to create, edit, delete, or make inactive Visit Types for Appointments.
  5. Can Access Occupations - Allows user access to the Occupations tab to create, edit, delete, or make inactive Occupations for Marketing purposes.
  6. Can Access Promotions - Allows user access to the Promotions tab to create, edit, delete, or make inactive promotions regarding Services and Products for discounts on Transactions.
  7. Can Access Rewards - Allows user access to the Rewards tab to set up Rewards Programs to include the ability to create, edit, make inactive, or delete award rules and redemption rules. Important: You must have the Rewards module activated on your STX License in order for the Rewards Programs to become functional.

Setup > Products

  1. Can Access Window - Allows user to access the items in the Products setup. 
  2. Can Save Changes - Allows user to save changes made in Products setup.
  3. Can Access Groups - Allows user access to the Groups tab to create, edit, delete, or make inactive Groups in this section.
  4. Can Access Manufacturers - Allows user access to the Manufacturers tab to create, edit, delete, or make inactive Manufacturers and create, edit, delete, or make inactive Product Lines.
  5. Can Access Suppliers - Allows users access to the Suppliers tab to add, edit, delete, or make inactive Suppliers and their information for ordering purposes.
  6. Can Access Products - Allows user access to the Products tab to add, edit, or make inactive individual Products in Product lines, to include price changes, stock numbers, suppliers ordered from and quantities.
  7. Can Access Packages - Allows user access to the Packages tab to create, edit, delete, or make inactive packages of several product items to include setting discounts on packages.
  8. Can Access Mass Update - Allows user access to the Mass Update tab to select Manufacturer, product line, and groups from drop-downs. Also allows user to edit stock #, description, quantities, and prices for product items.

Setup > Services

Note: User must be able to access  window before other security permissions can be given in this section.

  2. Can Access Groups - Allows user access to the Groups tab to create, edit, make inactive, or delete groups for Services.
  3. Can Access Notes - Allows user access to the Notes tab to create, edit, make inactive, or delete Note Fields for Services.
  4. Can Access Resources - Allows user access to the Resources tab to create, edit, make inactive, or delete Resource Types and Resources for Services.
  5. Can Save Changes - Allows user to save changes made in Services setup. 
  6. Can Access Services - Allows user access to the Services tab to create, edit, make inactive, or delete individual services within groups, to include pricing, time intervals, service charges, commissions, etc.
  7. Can Access Packages - Allows user access to the Packages tab to create, edit, make inactive, or delete services put together in a package and assign discounts to those packages.
  8. Can Access Series - Allows user access to the Series tab to create, edit, make inactive, or delete a service put in a series and assign discounts to those series.
  9. Can Access Sequence - Allows user access to the Sequence tab to click and drag services in the order they wish for them to appear in basic booking, transactions and appointment builder.
  10. Can Access Note Palettes - Allows user access to the Note Palettes tab to create, edit, make inactive, or delete palettes designed for Service Notes.

Setup > Employees

  1. Can Access Window - Allows user to access the items in the Employees setup. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Delete Employees - Allows user to delete employees.
    1. PLEASE NOTE: Employees with history cannot be deleted. Instead, they must be terminated in order to be made inactive.
  3. Can Save Changes - Allows user to save changes made in Employees setup. 
  4. Can Access Contact - Allows user access to the Contact tab to add a new employee, add or edit contact information for an employees.
  5. Can Access Hours - Allows user access to the Hours tab to set up regular and alternate hours schedules, customize individual day’s hours, mark time off, and set a department for employees.
  6. Can Access Payroll - Allows user access to the Payroll tab to set wages and payroll methods, hire dates, termination dates, and other financial information for employees.
  7. Can Access Pictures - Allows user access to the Pictures tab to add or delete pictures of employees and set as default for a picture to appear on the booking calendar.
  8. Can Access Profile - Allows user access to the Profile tab to add a note title and notes attached to that title.
  9. Can Access Security - Allows user access to the Security tab to set or cancel the security access (where an employee can go in the software) for an employee in the software. This also allows user to create, change, or remove passwords for login to software, iDevices and Employee Corner (if subscribing to Online Services).
  10. Can Access Services - Allows user access to the Services tab to select which services the employee performs, customize service pricing and time intervals, allow booking online for services, allow for an assistant, and set the appropriate price level for the employee.
  11. Can Access Goals - Allows user access to the Goals tab to configure monthly goals for the employee using the active goals Calculations.

Setup > Devices

  1. Can Access Window - Allows user to access the items in the Devices setup.
  2. Can Delete Device - Allows user to delete a device listed, or make it inactive.
  3. Can Pair Device - Allows user to generate a pairing string for a device that needs to be paired to the software.
    1. PLEASE NOTE: At this time only Apple Devices (iPhone, iPad, iPod touch) can be paired with the STX software.

Appointment

  1. Can Modify Appointment Status - Allows user to modify the appointment status to Checked In, Called, Confirmed, No Show, Cancelled, Complete, or Conflicting.
  2. Can Delete Appointments - Allows user to delete a scheduled appointment. WARNING: Deleting appointments is not recommended since the appointment can be cancelled or rescheduled, both of which are tracked on the client’s card. Deleted Appointments can never be recovered.
  3. Can Access Appointment Builder - Allows user to access the Appointment Builder to  schedule a new appointment.

Appointment > Appointment Detail Window

  1. Can Access Window - Allows user to access the items in the Appointment Detail window. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes made to the Appointment Detail Window.
  3. Can Create Standing Appointment - Allows user to click the Standing Appointment button in this window to create standing appointments.
  4. Can Reschedule Appointments - Allows user to reschedule an existing appointment through the appointment builder to another date/time. Access to this window also allows the user to print a reminder label, print the traveler or client info report, print standing appointments, and send an email confirmation to the client if you are subscribing to Online Services. 

Appointment > Booking Calendar Window

  1. Can Access Window - Allows user to access the items in the Booking Calendar window. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
    2. PLEASE NOTE: Access to this window also allows appointments to have status changes from the booking calendar, allow focus on a particular employee, include unscheduled employees, and to show and check notes to be shown on mouse-over.
  2. Can Drag Appointment - Allows user to move an entire existing appointment to another time, another employee column, or another day.
  3. Can Resize Appointment - Allows user to shorten or lengthen the duration of an existing appointment.
  4. Can Basic Book Appointment - Allows user to basic book an appointment directly on the booking calendar. Basic booking overrides all booking parameters such as resources, open and close times, and blocked-off times for employees.
  5. Can View All Days - Allows user to view all days on the booking calendar, both future and past days. Not checking this will allow a user with access to the booking calendar window to view only yesterday, the current day, tomorrow, and the day after tomorrow.
  6. Can View All Employees - Allows user to see all of the employees on the Booking Calendar Window, as well as all of their appointments. Not checking this allows a user who has a column on the Calendar to only view his/her own column and appointments.
  7. Can View Booked Value - Allows user to see the total $ value of all appointments on the booking calendar for any day, week, or weekday being viewed.
  8. Can Access Employee Corner - Allows user to access the Employee Corner to see only his/her own appointments and schedule from any computer, tablet, or smartphone as long as the business is subscribing to Online Services. The Employee Corner does not allow user to schedule or edit appointments.

Appointment > Waiting List Window

  1. Can Access Window - Allows user to access the items in the Waiting List window. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Edit Notes - Allows user to highlight a client, then add, edit, or remote notes in the provided note field.
  3. Can Remove Entries - Allows user to remove a client from the waiting list or book the client from the waiting list when there is an opening.

Transactions

  1. Can Perform No Sale - Allows a user to select the No Sale option from the Transactions menu.
    1. The No Sale option will open a connected and configured USB Cash Drawer at will, without benefit of a payment on a ticket.

Transactions > Transaction List

  1. Can Access Window - Allows user to access the items in the Transaction List. 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
    2. The Transaction List has a button for No Sale. If the Can Perform No Sale permission is checked (see previous page), the user will be allowed to open a connected and configured USB Cash Drawer at will by clicking the No Sale button.
  2. Can Delete Transactions - Allows user to select a transaction and delete it from the transaction list. WARNING: Recommended for Management Only. Deleted transactions can never be recovered.
  3. Can View All Days - Allows user to view transactions for any day in the past or future. Not checking this permission allows the user to view only the current day’s transactions and the day before.
  4. Can View Daily Totals - Allows user to check the box “show daily totals” on the transaction list and see the total $ amount of the transactions for the day being viewed.
  5. Can View All Employees - Allows logged-in user to view the transactions for all employees. Not checking this option will allow the logged in user to see only his/her own transactions for the day being viewed.

Transactions > Client Visit (ticket)

  1. Can Access Window - Allows user to access the items in the Client Visit (ticket). 
    1. Note: User must be able to access  window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes to the Client Visit (ticket) window.
  3. Can Modify List Price - Allows user to modify the regular Price of an item in either the Services tab or Products tab of the ticket.
    1. If this option is checked, and the list Price is modified, the Net price will auto-adjust to match the list Price. Not checking this option will prevent the list Price from being modified, so that when discounts or increases are made on the Net price, the original list Price will remain intact. 
  4. Can Modify Net Price Directly - Allows user to modify the Net price of services or products on the ticket directly. Not checking this option will keep the Net price from being modified directly. Any discounts to the net price will have to be taken by line item with a formal Promotion created in STX, or by choosing either “promotion for all services” or “promotion for all products” displayed at the bottom of the ticket.
  5. Can Set Reward Account - Allows user to set an account number in the rewards field for businesses who have the Rewards Module activated on their STX License.
  6. Can Access Services - Allows user to access the Services tab on a client visit (ticket) to include: changing the service(s) rendered, adding services, selecting employee(s) performing the service(s), and checking or unchecking the taxable box. If permissions allow, user can also change the list or net price for any service.
  7. Can Access Products - Allows user to access the Products section on a client visit (transaction) to include: adding products, removing products, selecting employee for sale of product. If permissions allow - changing the list price or net price for a product, checking or unchecking box that product is taxable. 
  8. Can Access Refunds - Allows user access to the Refunds tab of the ticket to select service(s) or product(s) to be refunded. Allows changing Net price for refund of service(s) or product(s). Allows restocking of refunded product(s) back to shelf (or not), deducting refunded service(s) price from employee sales (or not), and refund of any unused prepaid services from a package or series.
  9. Can Access Include Tickets - Allows user access to the Include tickets tab where they can select the current day’s unpaid tickets to be included for single payment by one party.
  10. Can Access Charge Account - Allows user access to the Charge Account tab (if the business uses the House Charge feature) to check balances and payments on the client’s Charge Account.


Transactions > Client Visit > Gifts

  1. Can Access - Allows user to access the Gifts tab on a Client Visit (ticket). 
    1. Allows user to add or remove a gift certificate or gift card, add $ amount of card, add recipient, and in the case of gift certificates, allow the ability to choose a Gift template.
  2. Can Reprint - Allows the user in the case of a gift certificate to print the certificate after the gift certificate had been previously printed. This is helpful if the user wishes to use a different gift template than what was previously printed. 

Transactions > Client Visit > Payments

  1. Can Access - Allows user to select the payment method the client is using to pay for the ticket, including Gifts on file to redeem.
    1. Allows user to edit the payment amount to include a tip. Allows user to select Tip Left In Drawer, Tip Paid Out, or None, which will cause an overpayment to appear as change back when the payment amount exceeds the transaction total. 
    2. Allows user to edit or remove the Pay Charges Due amount, when present on the ticket.
  2. Can Choose Merchant Account - Allows user to select the merchant account from the drop-down menu for businesses using credit card processing through the STX Software.
    1. Choosing merchant accounts while processing credit cards electronically through the STX Software will only be necessary if there is more than one merchant account, i.e. Individual Employees have their own merchant accounts.

Transaction > Transaction List > Cash In/Out

  1. Can Access Window - Allows user to access the Cash In / Out window by clicking the button on the Transaction List.
    1. Allows user to create a Cash paid In or Cash paid Out transaction for any selected date. 
  2. Can Save Changes - Allows user to save changes to the Cash In / Out window.

Transactions > Transaction List > Product Usage

  1. Can Access Window - Allows user to access the Product Usage window by clicking the button on the Transaction List.
    1. Allows user to remove items used by facility or individual employee(s) to be deducted from current on-hand inventory counts.
  2. Can Save Changes - Allows user to save changes to the Product Usage window.


Transactions > Transaction List > Cash Counting

  1. Can Access Window - Allows user to access the Cash Counting window by clicking the button on the Transaction List.
  2. Can Save Changes - Allows user to save changes in the Cash Counting window.
  3. Can Close Drawer - Allows user to close the drawer when the drawer is in balance at the end of a business day.
  4. Can Close Shift - Allows user to close a shift when the drawer is in balance at the end of a shift. 
  5. Can Open Closed Drawer - Allows user to open a previously closed drawer in order to make changes.
  6. Can Open Closed Shift - Allows user to open a previously closed shift in order to make changes.

Transactions > Transaction List > Gift Management

  1. Can View Detail - Allows user to look up a gift by purchasing client, receiving client, date sold, date expired, or by gift number in order to view the details of the gift. Allows user to replace, transfer, or recharge a Gift Card.

Client

  1. Can Add New Client - Allows user to add a new client to the STX Software.
  2. Can Delete Client - Allows user to delete a client in the STX Software. 
    1. PLEASE NOTE: Clients with history can not be deleted, but only made inactive.
  3. Can Import Clients - Allows user to import a list of clients from a properly formatted list into the STX Software.
  4. Can Access Client Search Window - Allows user to access Client Search Window. Access to this feature must be granted in order to search and locate individual client cards.

Client > Client Card

  1. Can Access Window - Allows user to access individual Client Cards. 
    1. User must be able to access the Client Card window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes to the Client Card.
  3. Can Access Client Info - Allows user to access the Information tab on a client card to view, edit, add or remove addresses, emails, phone numbers, booking restrictions and other personal client information.
  4. Can Access Appointments - Allows user to access the Appointment tab on a client card to view and open future and past appointments. Allows user to click “Show Cancellations” to view cancelled appointments. Allows user to set which phone numbers should be used for confirmation preferences.
  5. Can Access Marketing - Allows user to access the Marketing tab on the client card. Allows user to set birthday, occupation, client flags, and primary employee per each department for the client. Also allows viewing of marketing emails sent to client as long as the business is subscribing to Online Services.
  6. Can Access Pictures - Allows user to access the Pictures tab of the client card and import, delete, or set as default any pictures of the client.
  7. Can Access Profiles - Allows user to access the Profiles tab of the client card and add, edit, or remove information.
  8. Can Access Product Log - Allows user to access the Product Log tab of the client card to view product purchase history, as well as the product summary of client purchases.
  9. Can Access Service Log - Allows user to access the Service Log tab of the client card to view Service history, which includes unused prepaid services and Service Summary amount. Access to this area also allows user to access Service Notes where formulas can be entered for each individual service.
  10. Can Access Window - Allows user to access the Gift Management window by clicking the button on the Transaction List.
  11. Can Access Billing - Allows user to access the Billing Tab on the client card. This allows viewing of the House Charge account, including the ability to reset the current balance. Allows access to any Rewards programs in effect, including the ability to modify rewards points earned. Access to a Billing notes area and ability to add a Responsible Party for family members.
  12. Can Merge Clients - Allows user the ability to merge a client card into another client card and select the information to be merged.
  13. Can Print Appointments - Allows user to print the appointments from the Appointments tab on a client card for future or past appointments.

Client > Client Marketing

If you have chosen to restrict an employee from viewing client information on the client card, do not allow access to this area. Client Marketing contains the ability to generate a list of all clients in the STX Database, which will include important contact information for each client. This area requires owner authorization before one of our STX Solution Specialists will provide education or support to any person calling on behalf of the business.
  1. Can Access Window - Allows user to access the Client Marketing feature. User must be able to access window before other security permissions can be given in this section.
  2. Can Save Changes - Allows user to save changes made in Client Marketing.
  3. Can Generate Client Marketing - Allows user to create, edit, make inactive, or delete marketing sets. Allows user to view or export lists of clients gathered per the client filters used in the marketing set.
  4. Can Generate Online Mailing - Allows user to generate and send eBlasts to clients gathered per the client filters used in the marketing set, as long as the business is subscribing to Online Services.

Client > Mailing Statistics

  1. Can Access Window - Allows user to access the Mailing Statistics Window.
    1. Mailing Statistics provides information on mailings sent to clients, such as Read, Unread, Unsubscribed, and other statistics. Each statistic will display client names meeting the statistic criteria. Depending on the Client Card security settings, user may have the ability to access the client card for each client listed. 

Client > Reward Account

You must have the Rewards module activated on your STX License in order for the Reward Account access to become functional.
  1. Can Create New Account - Allows user to create a new reward account for a client either on the Client Card or on a Ticket.
  2. Can Set Default Account - Allows user to set the newly created reward account as the default account for a client. This tells the STX Software to automatically populate the  reward account number on each ticket transaction the client may have.
  3. Can Allow Use of Someone Else’s Account - Allows user to use the Reward Account number held by one client for another client.

Purchase Orders

  1. Can Access Window - Allows user to access the Purchase Orders feature. User must have Access Window checked to use other portions of this section.
    1. Allows user to create a new Purchase Order, select supplier, add items to the purchase order, delete items from purchase orders, change quantities ordered or received, check in purchase orders, and complete purchase orders.
  2. Can Delete Purchase Orders - Allows user to delete any Purchase Order.
    1. WARNING: Deleting a completed/delivered Purchase Order will remove the received quantities from the current Inventory count.
  3. Can Save Changes - Allows user to save changes to a Purchase Order.

Payroll

Payroll > Daily Hours

  1. Can Access Window - Allows user to access the Daily Hours feature. User must have Can Access Window checked in order to use other portions of this section.
  2. Can Access Status - Allows user access to the Status tab of the Daily Hours window. Used for clocking in, clocking out, and viewing the status of each employee. User’s password is required for changes.

Payroll > Daily Hours > History

  1. Can Access History - Allows the user to access the History tab in Daily Hours. User must have Can Access History checked in order to use other portions of this section.
  2. Can Add History - Allows user to add employees and his/her clocked in/out times.
  3. Can Edit History - Allows user to edit existing history to modify the clocked in/out times.
  4. Can Delete History - Allows user to delete employees and his/her clocked in/out entries.

Payroll > Process Payroll

  1. Can Access Window - Allows user to access the Process Payroll feature. User must have Can Access Window checked in order to use other portions of this section.
    1. Allows user to enter begin and end dates for payroll, and to select to process either regular pay periods or other period pay. Allows user to edit regular hours, overtime hours, extra pay, and other columns.
  2. Can Print Payroll Report - Allows user to print the processed payroll in report form.
  3. Can Export Payroll - Allows user to export the processed payroll for import to Checkmark or Aatrix.

Reporting

Reporting is accessed in the main STX toolbar and contains options for Reports, Goals, Billboard, and Dashboard.

Reports can be accessed in the main STX toolbar in the upper right-hand corner of most STX screens, or by selecting the Print option in the File menu. 

Reporting > Reports > Appointment Reports

  1. Can Print Client Care Card - Allows user to print the Client Care Card for each client with an appointment so client can update contact information.
  2. Can Print Employee Appointments - Allows user to print a list of appointments for  any employee for any specified date.
  3. Can Print Employee Book - Allows user to print a list of appointments with an image of the appointment column for any employee for any specified date. 
  4. Can Print Pre-Booked Appointments by Performing Employee - Allows user to print a report detailing breakdown of prebooked appointments  by date created and date of appointment for the employee performing those appointments.
  5. Can Print Pre-Booked Appointments by Scheduling Employee - Allows user to print a report detailing breakdown of prebooked appointments by date created and date of appointment for the employee who was logged in and scheduled those appointments.
  6. Can Print SMS Activity - Allows user to print a report detailing SMS activity, as long as the business is subscribing to Online Services.
  7. Can Print Traveler - Allows user to print the Traveler for appointments scheduled on any specified date.

  3. Can Print Inventory Optimization - Allows user to print the Inventory Optimization Report and set the parameters of report to include resetting the minimum on-hand quantities to what the report recommends.
  4. Can Print Inventory Physical Checklist - Allows user to print this report to aid in taking a physical inventory count.
  5. Can Print Inventory Price List - Allows user to print the price list for retail and/or professional products, for a single product line or all product lines.

  24. Can Print Ticket Summary - Allows user to print a report for any specified date which includes information regarding Statistics, Percentages, Averages, and Tickets by Visit Type. 
  25. Can Print Total Sheet - Allows a user to print a report for any date or date range that shows a compilation of transaction totals, usually printed at the end of each business day.
  26. Can Print Transaction Detail - Allows user to print a report for any date or date range which gives a breakdown of each individual transaction entered into the program. 
  27. Can Print Transaction List by Employee - Allows user to print a report for any date or date range which prints a copy of the Transaction List for a single employee at a time.
  28. Can Print Transaction List Summary - Allows user to print a report for any date or date range which prints a copy of the Transaction List with all employees combined. 

Reporting > Goals

  1. Can Access Window - Allows user to access the Goals reporting window and view monthly goals calculations and progress for employees.
  2. Can View All Employees - Allows user to view all employees in the Goals reporting window. Not checking this allows the user to only view his/her own monthly goals calculations and progress.

Reporting > Billboard

  1. Can Access Window - Allows user to view the Billboard which displays Goals progress for each active employee.

Reporting > Dashboard

  1. Can Access Window - Allows user to view the Dashboard window, as well as add and remove Gizmos from window.

Login

Business must have the Biometric Security module enabled in the STX License, and a fingerprint device must be connected to the computer. 

Can Use Password With Fingerprint On File - Allows user to log in with a password in addition to (or instead of) a fingerprint swipe.

Terminating An Employee and Security Access

Once a person is no longer in your employ, the following steps should be performed on the employee setup record to ensure they no longer have access to the STX software.
  1. Security tab: uncheck all security assigned to the employee.
  2. Click the Change Password and click Remove Password.
  3. Payroll tab: click Terminate Employment or manually enter a termination date
  4. Go to Setup: Devices and uncheck his/her devices to de-authorize any iDevice they may have paired with your STX Software. 
  5. Remove the device by highlighting the appropriate device, then click the   Delete icon in the toolbar.
You have now ensured that the former employee has absolutely no access to your STX data.


STX for iOS - iDevice Security Options

There are 5 employee security categories which are used for both STX desktop and STX for iOS.
  1. Setup
  2. Appointments
  3. Transactions
  4. Client
  5. Reporting
Other security options are used strictly for STX desktop.

Setup: Products

The Manage Inventory option allows the user to perform a physical count of the inventory currently in stock. If you would like the employee to perform the Manage Inventory option from the device, you must check the following items in the Products section:
• Can Access Window
• Can Save Changes

The remaining security options for Setup do not pertain to STX for iOS and are only used for access to areas of the STX desktop application.

Appointment

If you would like the employee to view all days of appointments, check the Can View All Days checkbox under the Booking Calendar Window option. 

If you would like the employee to view the appointments for all employees, check the Can View All Employees checkbox under the Booking Calendar Window option. 

The remaining security options for Appointment do not pertain to STX for iOS and are only used for access to areas of the STX desktop application. 

Transactions

If you would like the employee to view all days of transactions, check the Can View All Days checkbox under the Transaction List option.

If you would like the employee to view the ticket transactions for all employees, check the Can View All Employees checkbox under the Transaction List option. 

If you would like the employee to be able to adjust the full pricing of services and/or products on the ticket, you will check the Can Modify List Price checkbox under the Client Visit option.  Otherwise, only the Net Price can be changed, either manually or by adding a promotional discount.

If you would like the employee to accept a payment on the ticket, you will check the Can Access checkbox under the Payments option. 

The remaining security options for Transactions do not pertain to STX for iOS and are only used for access to areas of the STX desktop application.

Client

If you do not want the employee to have access to the client contact information, do NOT check the Can Access Client Info checkbox under the Client Card option.

Reporting

If you would like for the employee to view the Goals information for all employees, check the Can Access All Employees checkbox under the Goals option.
