The Appointments Today feature shows all appointments booked just for the current day, for all employees combined. Appointments can be checked in, previewed in detail, notes added, and even checked out within one window.
To access the Appointments Today screen, use the main toolbar to click Appointments: Appts Today. Or, use the menu bar and select Appointments: Today’s Appointments. The following screen will appear.
Include Completed Appointments will show all appointments where the client has paid for their Client Visit ticket transaction and have left. Check this box if you wish to see the Completed appointments.
Using the All Day popup menu, restrict the list of appointments to just the next 2 hours, 4 hours, 6 hours, or 8 hours. The All Day option will list the entire day of upcoming appointments.
Appointments with a Note icon indicate the appointment has a note connected to it. Double-click the Note icon to open the Appointment Detail screen, where the note is located.
Appointments with the Ticket icon indicate the appointment has already been checked in and a Client Visit ticket transaction has already been created. Double-click the Ticket icon to open the actual ticket transaction for the client.
Appointments can be expanded or closed, either individually or all at the same time.
Click the ‘triangle’ down next to the individual appointment you wish to see the details for. The time, duration, service and employee will be listed for each item making up the entire appointment.
Click Expand All to expand and see the details of each appointment on the list.
Click Collapse All to close the details of each appointment on the list.
Color Codes
A light green tint will appear over appointments both + / - 1 (one) hour from the current time. The green tint makes it easy to see which clients are expected to arrive within the next hour.
Time Color Codes
Color codes for the Time column are as follows:
- Dirty Yellow (mustard) if the client has not checked IN within 15 minutes of the start time of his/her appointment.
- Dirty Yellow (mustard) if the client has not checked OUT within 15 minutes of the end time of his/her appointment.
- Red if the client has not checked IN within 30 minutes of the start time of his/her appointment.
- Red if the client has not checked OUT within 30 minutes of the end time of his/her appointment.
Line Color Codes
The color of each line is the Appointment Status color, aside from the time of the appointment, which could be one of the above.
- BLACK indicates the No Show appointment status.
- GRAY indicates the Complete appointment status.
- GREEN indicates the Checked In appointment status.
- PINK indicates the Confirmed appointment status.
- DIRTY YELLOW (mustard) indicates the Called appointment status.
- BLUE indicates the Booked appointment status.
Changing Appointment Status
Use the Today’s Appointments screen to change the Appointment Status of any appointment.
Hold the Control (crtl) key on the keyboard and click one time on the appointment you wish to change the status for. This will cause a Contextual menu to appear, allowing you to set the status immediately without having to open any other windows or use other keyboard commands.
Holding the Control (ctrl) key while clicking one time on an item is also the same as Right-Click if you have a mouse with the Right-Click button enabled.
Checking Out Clients
Double-click the Ticket icon to open the actual ticket transaction for the client. Continue with the Check Out process, then Save and Close the ticket transaction.
